Job Profile

We are seeking a professional, personable, and well-organized Receptionist (Emirati) to join our team on a full-time basis. As the first point of contact for visitors and clients, this role is essential in creating a welcoming and professional first impression while ensuring the smooth day-to-day operation of the front office. The ideal candidate will be friendly, proactive, and capable of handling multiple tasks efficiently.

Key Responsibilities

Front Office Operations

  • Provide a professional, warm, and courteous welcome to all visitors and clients.
  • Assist visitors and guests as needed to ensure a positive experience.
  • Handle client and guest inquiries by providing information or directing them to the appropriate department.
  • Manage telephone calls, ensuring prompt and professional call handling.
  • Receive, distribute and manage office mail and deliveries.
  • Coordinate meeting room bookings and ensure rooms are prepared and organized.
  • Maintain a clean, organized and professional front desk and reception area at all times.

Administrative Duties

  • Create Purchase Orders for air tickets.
  • Order office supplies and manage inventory to ensure adequate stock levels.
  • Perform general administrative tasks including filing, data entry, document preparation, and other ad-hoc duties.
  • Provide additional administrative support to team members as needed to support overall office efficiency.
  • Assist in organizing and supporting company activities, including monthly birthday celebrations, and coordinate the preparation of cakes for celebrants.

Qualifications

  • Emirati Nationals.
  • Working hours: Mondays to Fridays: from 8:00 am to 5pm
  • Proficient in MS Office (Word, Excel, Outlook).
  • Familiarity with Microsoft Dynamics 365 is an advantage.
  • Excellent communication skills (Arabic and English).
  • Strong organizational skills and attention to detail.
  • Positive and friendly demeanour with the ability to work well in a team.
  • Previous administrative or reception experience is preferred but not required.
